Job Type: Full-time  

As a Tax Admin you will be responsible for helping the Tax team, drafting misc, forms, coordinating various calendars, taking phone calls and messages, sending emails, prepping for large meetings and presentations, capturing notes in meetings, and many other related tasks. 

Main Responsibilities

  • Draft and complete misc. federal tax forms and applications such as EFTPS, EIN/SS-4, POA/2848, Election/8832&2553, installment agreement requests, Form 843, change of address/8822 & any others as needed. 

  • Draft and complete misc. state tax forms and applications such as Franchise Tax questionnaires, nexus, reinstatements, terminations, state change of address, TX formation & expansion, change of Registered Agent & any others as needed. 

  • Draft and file annual reports. 

  • Assist with e-filing extensions, Federal & State returns.   

  • Assist with making estimated/balance due payments via available payment methods.   

  • Assign and review tax incoming mail, draft letters, take action in responding or following up with responsible team member as necessary to resolve and close out all tax mail tickets in a timely manner.  

  • Responsible for all outgoing mail packages for tax team, including printing, obtaining signatures, attaching enclosures, scanning, and handing off to receptionist. 

  • In charge of all stages of POA preparation including signature request of all representatives. 

  • Internal or External signature request on tax documents and checks, physically and electronically, including the consistent follow up of signatures. 

  • Responsible for E-file confirm. 

  • Follow-up on pending/abandoned tickets for misc. forms/tasks (tickets not updated in over a month for EIN, elections, etc.).   

  • Receiving tax organizers & digital tax documents, scanning of all original tax documents, saving them in folder, leaving note on ticket/notifying preparer, and following up with clients to coordinate return of original documents to them. 

  • Organizing and maintaining filings of the IRS confirmations: EIN, ITIN, Business Registrations (all states), elections, etc.   

  • Sending copies of extensions, returns, & confirmations to clients and K-1s to non- JCPA clients. 

  • Assist with property Tax- signature request, notarization, and mail packaging. 

  • Act as a back-up for the front desk as needed. 

Qualifications:

  • Bachelor’s degree in accounting or related field. 

  • GPA or General Average: ≥ 8 

  • Prior experience in tax administration or related activities, at least 2 years preferred.

  • Outstanding ability to compute figures rapidly and accurately.

  • US GAAP experience 

  • Microsoft Office skills
